Supplier Privacy Notice

Introduction

  • At New Life Counselling, we are committed to protecting and respecting your privacy.
  • This privacy notice explains when and why we collect personal information, how we use it, the conditions under which we may disclose it to others and how we keep it secure.
  • We do this in line with current General Data Protection Regulation Legislation.

 

Who we are?

  • New Life Counselling is a voluntary counselling organisation committed to supporting the emotional health and wellbeing needs of its clients through the provision of counselling and are registered with the Charity Commission for Northern Ireland.
  • New Life Counselling is a ‘data controller’. This means that we are responsible for deciding how we hold and use personal information about you.

 

Why are we collecting your information?

The information that you provide to us is required in order for us to procure goods and/or services and make payments to you.

 

What information do we collect?

The personal information we collect is relevant to procuring goods and/or services and making payments.  This includes:

  • personal details (such as name);
  • contact details (such as your personal/work telephone number and email address) qualification details for contractors providing a service where a certain standard is required.
  • financial information (such as bank account details);

 

How do we use personal information?

We may use your information to:

  • facilitate payment of your invoices
  • seek your views or comments in the case of supervisors
  • request access NI checks for suppliers of clinical services
  • legal obligations (e.g.ed prevention of fraud)
  • meeting internal audit requirements

 

What legal basis do we have for processing your personal data?

Consent

In specific situation, we can collect and process your information with your explicit consent

 

Performance of a contract

In certain circumstances, we need your personal information in order to perform a contract that we have entered into with you.

 

Legal Obligation

If the law requires us to, we may need to collect and process your information.  We may also need to pass your information onto a third party if required by law.

 

Legitimate interest

In specific situations, we require your information to pursue our legitimate interests in a way which might reasonably be expected as part of running our business and delivering our services.

 

 

Who has access to your information?

Within New Life Counselling, access is only available to those who need this information in order to fulfil the contract that we have with you.  Access may be required by support departments within New Life Counselling such as Finance.

 

When do we share personal data? We will not share your information with any third parties unless:

  • you have consented to this (for example by providing information to us after we’ve told you that we will supply the information to a third party)
  • in the case of provision of clinical services, it is as part of our duty to protect a child, a vulnerable adult, yourself or the public
  • for the prevention and detection of a crime or the assessment of any tax or duty
  • we are required to do so by any court or law or any relevant regulatory authority
  • to protect the rights, property or safety of New Life Counselling or any third parties (for example for the purposes of fraud protection)
  • we transfer our rights and duties to provide products and services to another organisation
  • to comply with audit and regulatory requirements

 

 

How do we secure personal data?

When you give us your personal information, we take steps to ensure that it is treated securely.  Any confidential and sensitive information is securely filed as we apply software to our ICT to prevent unauthorised access to your information.  We have appropriate procedures in place for data security and management of records.

 

How long do we keep your personal data for?

New Life Counselling will keep your personal data no longer than is necessary for the purpose for which is being processed.

 

Your rights in relation to personal data:

You have the right to ask New Life Counselling to-

 

  • provide you with all the information it stores on you.
  • rectify, and delete your personal data, to restrict its use, to port your data to another organisation
  • object to the processing of your data in some circumstances and, where we have asked for consent to process your data, to withdraw this consent.

 

There are exceptions to these rights, however. e.g. Access to personal data may be denied in some circumstances. If making the information available would reveal personal information about another person or if New Life Counselling is legally prevented from disclosing such information.  In addition, New Life Counselling may be able to retain data even if you withdraw your consent, where we can demonstrate that it has a legal requirement to process your data.
